MINUTES OF GBM HELD ON 30th November 2025
Dear Residents,
The General Body Meeting (GBM) conducted on 30.11.2025 was fully recorded, and the video has already been shared with all residents. There is complete transparency in the proceedings, and nothing has been withheld. For the sake of clarity and convenience, the video is being reshared once again. Below are the key decisions and announcements made during the GBM:
1. Monthly Collection & Expenditure Statement The Collection and Expenditure Statement for November 2025 has been prepared by the accountant and placed before the Office Bearers for approval. The same shall be circulated to all residents within a day or two. - Implemented✅
2. “Agreement Dekho Diwas” Announced A dedicated Agreement Review Day has been announced. This will cover all agreements—whether executed directly with the Facility Maintenance Agency or indirectly through the facility company with other vendors. Date will be announced after Makar Sankranti. - Implemented✅
3. “Voucher / Bill Dekho Diwas” Announced A Voucher & Bill Review Day has also been announced. All bills and vouchers month-wise from Day 1 (13th October 2024) till date shall be displayed for residents’ review. Date will be announced after Makar Sankranti. - Implemented✅
4. Painting of Remaining 14 Towers Requests for Quotations (RFQs) have been sought from residents through the MyGate app. In addition to the 7 quotations discussed during the GBM, quotations have also been received from Asian Paints, Dulux Paints, and other vendors. Few vendors have already been assigned work orders. - Implemented✅
5. Medical Nursing Center at Club 1: A Medical Nursing Center has been announced at Club 1 (Doctor’s Room). Medanta, Felix, and Yatharth Hospitals were approached. Currently, Medanta is leading, and residents will soon have access to a fully functional medical center within the society. - Implemented✅
6. Lifts in All Clubs RFQs were invited, and 8 companies participated. Based on features and evaluation, Schindler has been finalized. Residents can expect lift facilities in all clubs within 2–3 months. - Implemented✅
7. Ganga Water Line Laying Work: The AOA announced the laying of the Ganga water pipeline to Pump Rooms 2, 3, and 4. The work has already commenced. - Implemented✅
8. CCTV Surveillance Room at Club 2: A centralized CCTV Surveillance Room at Club 2 was announced, along with replacement of all basement cameras using NVR technology. Work is in progress, with a target completion date of 26th January 2026. - Implemented✅
9. 5 MVA Transformer Quotations have been received from multiple vendors. Technical evaluations are currently underway, and the vendor is yet to be finalized. - Implemented✅
10. Hardware & Electrical Store for Residents: As per the demand from senior citizens, a society-managed store for hardware and electrical items at best possible rates shall be established by the AOA. Item-wise rates will be announced shortly via the MyGate app.
11. Solar Power Feasibility Study: A feasibility and cost-benefit analysis for the use of solar power in the society has been initiated. Two companies have already visited the site, and the evaluation is in progress.
12. DG Recharge Online through MyGate: This feature has already been developed, tested, and is now available for residents. A detailed SOP shall be shared soon. - Implemented✅
13. Mandir Shikhar Nirman: The architect has already visited and shared the initial design. Visits with the Structural Engineer have been completed. Contractor assignment is pending. - Implemented✅
14. Residents Committee Formation Residents’ Committees shall be announced soon. We already have more than 100 volunteers who applied for different committees before the election. Committee names and members shall be announced shortly. Each committee shall function with joint authority and responsibility along with one AOA SPOC.
15. Kids’ Play Area & Sports Area Development: The AOA is actively working on the upgradation of the Kids’ Play Area and Sports Facilities. Quotations have been invited, and work in a few identified areas has already commenced. Remaining works will be taken up shortly in a phased manner. - Implemented✅
16. Replacement of Iron Drain Jaali with FRP Sheets (Basement) The AOA has planned a phased replacement of damaged iron drain jaalis with FRP sheets in the basement, wherever required. Quotations have been sought, and execution shall commence shortly after finalization. - Implemented✅
17. Basement Leakage: A comparative survey of repair solutions adopted in other societies has been completed. The suitable material and methodology have been identified, and the procurement process will begin shortly, followed by execution.
18. Driveway Cleaning & Car Parking Issues AOA is actively working on regular driveway cleaning to ensure clear, safe, and obstruction-free movement within the society. Simultaneously, the issuance and verification of car parking stickers is in progress to regulate parking, prevent unauthorized vehicles, and streamline parking management. Residents are requested to extend their cooperation by displaying valid parking stickers and adhering strictly to designated parking norms. The Association remains fully committed to transparency, development, and the welfare of all residents. Your cooperation and continued support are sincerely appreciated.
